Conversions, goals and leavers

Update 2602.36, released 5th February 2026, brings several enhancements across multiple functions within the GymOS platform. 

This release is a precursor to a more significant imminent update that will bring gym owners substantial advantages in the efficient operation and management of their gyms and that, in part, uses some of the data that these enhancements facilitate. Whilst the majority of this additional data collection is optional, we strongly recommend that you and your team provide this data, as it will provide you with additional value and critical insight into your business in the medium/long term.

The noteworthy elements of this update are summarised below. All of these will become more relevant and valuable in the forthcoming release.

Membership History
It is now easier to view a member’s previous memberships by clicking the History button in the top section of the member’s membership tab.

Journey Points for leads
As with members, it is now possible to assign a journey point to a lead. These may be configured within the Lists & Groups settings. You can use journey points to track and record your progress with a lead before they become a trialist.

Target check-in frequency
On the summary tab of a member record, you may now record a target check-in frequency (E.g. monthly). This intent may then be reconciled against actual check-ins recorded using the “call logging” function or DropSlot. A corresponding report is available for members with active memberships, allowing you to track their last check-in, when their next check-in is due, and whether and when it is scheduled.

Trial and membership conversion tracking
When adding a new membership to a member who already has one, it is now possible to provide data about the conversion. When converting from a trial to a recurring membership, GymOS will pre-fill the fields. You may also record upgrades, downgrades, and cross-sells – along with any corresponding notes. This data is then available in a new membership conversion report and will be employed to a greater extent in a future release.

GymOS has calculated and added historical trial conversion data, but please be aware that this may not be 100% correct as it has been derived, rather than explicitly recorded. 

Goals and aims
A dedicated area has been provided on the member’s membership tab to record their aims, 30-day targets, 3-month goals, and any ‘actionables’. These may be recorded ad hoc on the membership tab, but this information is also prompted for optional completion in the final step of adding a membership.

A new goal-tracking report is available that summarises all current goals for members with active memberships.

Leave request and leaver recording
You may now explicitly record within GymOS information regarding a member cancelling their membership or leaving your gym. This may be recorded on the membership tab of the member’s record and is also prompted during membership cancellation if you indicate that the member will be leaving your facility. The categories of reasons for leaving can be configured in the Lists & Groups settings, and you can add ad hoc notes.

New pending leavers and leavers reports are available that summarise leaver data during the given date range.

Two new off-boarding triggers, “Notified intent to leave” and “Leaver exited”, have been added, allowing you to add a workflow to an off-boarding process. For example,  you might update the members’ journey point to “Lapsed member” and assign a long-term nurture program or calls to try and coax them back in due course.

Call categories
The meeting type categories used for DropSlot appointments have been mirrored onto scheduled and completed calls. This enables you to more explicitly record the nature of a call, such as a “check-in”. These categories have, in turn, been rippled through onto corresponding nurture program elements and trigger steps.

Two new call completion triggers, “Member call completed” and “Lead call completed”, have been added, allowing you to add a custom workflow to the call tracking process.

Touch points
GymOS has now started retaining explicit touch point data. A “touch point” is a communication that you have had with a lead or member, such as an email, SMS, push notification, phone call, DropSlot consultation, or feedback form. It may be automated (such as a nurture program email) or manual (such as a phone call).

This data will become increasingly valuable and relevant in forthcoming GymOS updates.

Bulk add list items
The list administration function in settings has been enhanced to simplify the bulk addition of items to a single hierarchy list. These may now be added with far fewer clicks and with greater simplicity.

Revised mobile app credit/debit card process for new clients
An edge-case bug is fixed in this release, where, depending on the order of events, a member’s Stripe or GoCardless account might become disconnected from their member record shortly after it is first created. This has been tracked back to a timing issue when a non-recommended workflow is used, but should, nevertheless, work without loss of data.
