The call that never happened

Somebody on your team rang a member on Tuesday. It was a good conversation. She agreed to come back in on Saturday, mentioned a shoulder that had been playing up, and asked whether she could move to a different membership. None of that exists anywhere. The call went out from the front desk phone, or from a coach’s own mobile, and as far as your gym is concerned it never happened at all.

That has bothered me for a long time. We have spent years making sure everything else in GymOS® leaves a trail – every booking, every payment, every message, every change to a record. Calls have been the blind spot – not because you can’t log them, but because nobody does! They are frequently the most important conversation you have with a member all month, and they are the one thing that disappears the moment the phone goes down.

So we built Konduo™. Konduo is calling, built directly into GymOS. Click almost any phone number in the administration portal, or open the dialler from the top of the screen, and the call is placed from your gym’s own number. Your coaches can do exactly the same from the FitnessHub app they already carry. There is nothing to install, no separate system to learn, and no extra tab to keep open all day.

The number matters more than people expect. Calls show your gym’s dedicated GymOS number, so members recognise it, answer it, and can ring you back. Your staff never hand out their personal mobile, never burn their own minutes, and never become the out-of-hours contact for a member at nine o’clock on a Sunday night. Because the call is placed from inside GymOS, it is logged against the lead or member automatically – who called, when, and for how long – and it counts as contact on their record. If the call came from a call task, or from a DropSlot telephone appointment, wrapping it up completes the task or marks the appointment attended for you.

Then there is the intelligence part, and you decide how much of it you want. Each gym chooses one of three settings: calls placed and logged only; calls recorded; or calls recorded, transcribed and summarised. Wherever recording is switched on, the person you are calling hears a short announcement in your gym’s name before the conversation begins, and your team can turn recording off for any individual call. It stays your data, inside your system, handled properly – rather than a private member conversation being pasted into whichever AI tool an industry mentor happened to champion that week.

Where transcription is enabled, Konduo writes the call out in full and keeps it on the person’s record, then adds a short summary and the action points that came out of it. That summary is written as the call’s outcome, so the wrap-up your team would otherwise have to type is simply already there when they hang up. Recollections of a conversation can vary; a transcript does not. And the next person to speak to that member starts out knowing exactly what was said last time, rather than asking them to explain it all again.

Konduo launches on 2nd October for gyms in the United Kingdom and Ireland. Setting up takes a few minutes and is wizard-led. UK gyms simply use the GymOS number they already have; for Irish gyms we register a local number in your business’s name, at no charge for the number itself. Billing is pay-as-you-go, per answered minute, alongside your other GymOS usage – so there is no standing monthly cost if you don’t use it.
